Marketing and Administrative Specialist 

Our team is seeking an executive administrative assistant who can manage our systems, calendars, transactions, marketing, allowing us to achieve our team goals. We are looking to fill a key position with a candidate energized by managing the day-to-day operations of a successful real estate team. Key roles will include managing calendars, CRM, technology, and transaction software, and ensuring our systems and operations run smoothly. Ideally, this candidate will have prior real estate marketing and technology experience and will be energized by learning and applying the Piper Partners Real Estate Team’s proprietary systems to our business.

General Administrative Duties:

  • Answer phone calls, emails, texts, and return calls or forward them to agents promptly throughout the day.
  • Maintain and operate systems throughout the day. Send, receive, and forward documents between clients, agents, and all applicable parties. 
  • Manage the CRM.
  • Coordinate payroll, bill payment, receipt collection as needed.
  • Identify ways to improve our systems so that they are a joy to use. 
  • Oversee Piper Partners team member calendars.
  • Coordinate team activities – meetings, training, and appointments.
  • Onboard and off-board team members as needed. 
  • Prepare meetings. compile relevant data to present to the team
  • Track individual and team progress across all metrics.
  • Track business costs. 

Real Estate Specific Activities; Marketing, Transaction, and Listing Management

  • Input listings into the MLS, utilizing information from the listing agent, public records, client, and tax records. 
  • Manage Transactions through closing making sure dates are met, documents are correctly signed, and compliance requirements
  • Update Clients throughout the transaction.
  • Implement all appropriate marketing plans on a timely basis.
  • Coordinate with outside vendors on behalf of our clients.
  • Maintain good working relationships with vendors and business partners in mortgage, title, contracting, new-construction, etc.
  • Deliver 5-star service to our clients and team.
  • Attend team meetings and share our listings and buyer needs
